ADA Accommodations Specialist

The ADA Accommodations Specialist serves as the organization's subject-matter expert and case owner for Americans with Disabilities Act (ADA), PWFA, and state-law accommodation matters. This role owns the interactive process and final case determinations across the full accommodation caseload, with particular depth on cases involving significant complexity, ambiguity, or risk including contested requests and cases with potential legal exposure and partners directly with Legal, HR Business Partners, and People Leaders to evaluate essential job functions, undue hardship, and reasonable accommodation options.

Responsibilities

  • Own and manage the full ADA accommodation caseload as subject-matter expert, applying advanced knowledge of ADA, PWFA, and state accommodation laws to conduct interactive process determinations, undue hardship analysis, and reasonable accommodation decisions, with primary ownership of complex, high-risk, or contested cases referred by the ADA Coordinator
  • Partner directly with Legal on cases involving litigation risk, ambiguous regulatory interpretation, or significant business impact, providing case documentation, analysis, and recommendations to support resolution
  • Consult with HR Business Partners and People Leaders to evaluate essential job functions, accommodation feasibility, and operational impact for complex, contested, or cross-functional accommodation requests
  • Own final determination and documentation of complex accommodation decisions, including denials, interim accommodations, and modified duty arrangements, ensuring legal compliance and audit-ready case records
  • Respond to complex or escalated ADA-related inquiries submitted by employees, managers, and HR partners via ticketing systems and email, providing accurate, compliant guidance on accommodation status, process, and next steps
  • Serve as technical resource and point of escalation for the ADA Coordinator on routine cases that surface complexity, providing case guidance and coaching to support consistent, compliant handling across the team
  • Participate in job description reviews and recommend modifications to essential job functions to support accommodation feasibility and legal defensibility
  • Develop and deliver ADA training and best-practice guidance for HRBPs and People Leaders
  • Track and analyze complex case outcomes, accommodation trends, and process metrics, identifying systemic improvement opportunities and compliance risk areas

Qualifications

  • Education Requirements: Bachelor's degree (Bachelor's degree in Human Resources, Business, Psychology, or a related field preferred)
  • Experience Requirements: 2-4 years experience in relevant field
  • Travel requirement: No travel requirements

Supervisor Responsibility

Direct Reports: This position does not have supervisory responsibilities for direct reports

Indirect Reports: Does not have direct reports, but may delegate work of others and provide guidance, direction and mentoring to indirect reports

Required Knowledge and Skills

  • Advanced working knowledge of ADA, PWFA, FMLA, and related state and federal accommodation and leave laws, including practical application in undue hardship analysis and interactive process determinations for complex or contested cases
  • Demonstrated ability to partner directly with Legal and outside counsel on cases involving litigation risk, ambiguous regulatory interpretation, or significant business impact
  • Strong analytical and case-resolution skills, with the ability to evaluate essential job functions, business feasibility, and accommodation alternatives across varied roles and business units
  • Proficiency with case management systems, HRIS platforms, and Microsoft Office Suite; experience with ticketing or workflow tools preferred
  • Excellent written and verbal communication skills, including the ability to explain complex compliance decisions clearly and empathetically to employees, People Leaders, HRBPs, and vendor partners
  • Demonstrated sound judgment and discretion in handling highly sensitive, confidential, and legally significant information, including the ability to make final determinations on complex accommodation decisions
